Interlibrary Loan / Document Delivery Policies

Interlibrary Loan (ILL) and Document Delivery (DD) are services extended to the patrons of participating SWON Libraries contributing members when it is not convenient for patrons to go directly to another participating SWON Libraries member to borrow materials.

Whenever it is possible, priority service will be given to the filling and processing of SWON Libraries member requests as long as it is workable within departmental structure.

All SWON Libraries members will follow their own institution’s ILL/ DD policies and procedures for receiving and processing incoming and outgoing requested materials. SWON Libraries members are expected to extend a reasonable amount of Interlibrary Loan and Document Delivery services free of charge to other SWON Libraries members.

Materials may be delivered using the SWON Libraries delivery service or U.S. Mail and any preferred form of electronic transmissions.

Request Forms

The SWON Libraries ILL Request forms (PDF) are to be used by all member libraries that are not members of OCLC. One form per request should be submitted. Requests may be sent by electronic transmission (preferred), or U.S. mail. Some libraries may accept ILL requests via their library web site. Consult the ILL contact list for details. SWON Libraries members that use OCLC should indicate “SWON” as an affiliation in their OCLC constant data record on all submitted requests.

Delivery Service

The SWON Libraries Office contracts with a vendor for either regularly scheduled stops or on-call stops to pick-up and deliver ILL or Direct Lend materials. Participation in this service is provided to all SWON Libraries members. Please see the SWON Libraries website for instructions on using the service.

Lost / Damaged Materials

The Borrowing Library should notify the Lending Library as soon as it is known that an item is lost or damaged. Patrons who borrow items from member institutions through ILL are responsible for any costs or fees incurred. Member libraries agree to cooperate in the recovery of unreturned or damaged materials within the legal limitations and in accordance with their own policies.
